Privacy Policy

Viora helps you manage calendars, schedule meetings, receive reminders, and share booking pages. This notice covers the Viora app, website, and connected integrations.

Who is responsible

Viora is operated by the Viora operating company (company name and country pending confirmation). For privacy questions or requests, contact durehamad656@gmail.com.

Information we process

• Account: Firebase user identifier, name, email, profile image, time zone, and connected account email addresses.
• Scheduling: event titles, descriptions, times, locations, attendees, recurrence, meeting links, availability, booking pages, and guest names, emails and optional phone numbers.
• Conversations and preferences: messages you send to Viora, assistant responses, scheduling drafts, to-do lists, imported contacts, automation settings, and reminder preferences.
• Connections: OAuth access and refresh tokens, connection state, and an app-specific password if you connect iCloud Calendar. Stored integration credentials are encrypted.
• Notifications and support: verified WhatsApp phone number, device push token, support messages, and delivery records. Server logs can contain request details, IP addresses, errors and message content.

Zoom data and use

When you authorize Zoom, Viora obtains access and refresh tokens and may retrieve your Zoom account email. It sends the meeting topic, start time, duration and meeting settings to Zoom to create a scheduled meeting, and receives a join link. Meeting links can appear in calendar events, conversations and booking records. This scheduling integration does not retrieve Zoom meeting recordings, transcripts or meeting audio/video.

Why data is used and shared

Data is used to authenticate you, respond to scheduling requests, check calendars, create meetings, deliver reminders, manage bookings, and troubleshoot the service. Relevant information is sent to the services needed for the feature you choose: Zoom; Google Calendar; Microsoft Outlook; Apple iCloud; Meta WhatsApp; Firebase Authentication and push messaging; and the configured email delivery and hosting providers. Invitations and booking notifications disclose relevant meeting and contact details to their recipients. Public booking links expose the page information and available slots you choose to share.

AI processing

Viora uses Google Gemini through Vertex AI to interpret requests and generate responses. Your message, recent conversation context and scheduling preferences may be included in these requests. Avoid entering information that is unnecessary for scheduling. Review generated dates, attendees and meeting details; AI can make mistakes. Autonomous scheduling settings can permit actions without a separate confirmation.

Retention and deletion

The current implementation stores account, conversation, scheduling and support records without a general automatic expiry schedule. Integration credentials are retained until disconnected. A company-approved retention schedule for account data, logs, support records and backups, and a deletion-response timeframe, are still being established. This draft does not promise a deletion deadline.

Disconnecting Zoom within Viora deletes the stored Zoom connection record, including its saved credentials. It does not automatically delete your Viora account, conversation history, booking records, or meetings already created in Zoom or another calendar. To revoke Zoom authorization, also remove Viora from Zoom Marketplace. Request broader account-data deletion using the privacy contact above; identify your account and what you want deleted. Third-party services manage their own copies under their own policies.

Your rights and choices

Depending on the law applicable to you, you may have rights to access or obtain a copy of your information, correct it, request deletion, restrict or object to processing, obtain portable data, or withdraw consent where processing relies on consent. You may also complain to your local data protection authority. To exercise a right, contact durehamad656@gmail.com with your account email and request. We may need proportionate information to verify your identity. Do not send passwords or access tokens. Applicable exceptions and statutory response periods apply.

Service providers and international processing

Connected services and hosting providers may process information outside your country. Applicable legal grounds, processing locations and transfer safeguards must be documented by the operator before this draft is finalized.

Browser storage and changes

The app and website use authentication/session storage and preference storage. Pages may load fonts and other assets from third-party providers, which receive normal web-request information. Updates to this notice will be published here with a revised date.
